A Privacy Checklist for Choosing Software
Privacy depends on how you configure and use a tool as well as the product itself. Map where information goes before choosing an application for personal notes, team conversations or business records.
Map the data path
Identify what stays on your device, what is synchronized and what is sent to external services. Read the product documentation for account data, diagnostics and optional integrations. Treat a local application with cloud plugins as a different setup from the same application used entirely offline.
Review access and sharing
Test a shared item from the recipient perspective. Check whether links can be forwarded, whether access can be revoked and whether former collaborators still have copies. Use separate accounts instead of sharing a password, and review permissions after a team change.
Test export and deletion
Find the documented export and account deletion processes. Distinguish deleting a visible record from removing backups or logs retained by a service. Keep only the information needed for your task and avoid putting sensitive data into an unfamiliar tool during an initial trial.
