Software switching guide
Plan a Small Business Software Stack
A small business needs software that supports repeatable work. The best starting point is a map of daily tasks and ownership, rather than a long list of applications.
Map the process and the owner
List how a customer request becomes a completed job. Identify where information is entered, who updates it and which records must be retained. Avoid introducing separate tools that require the same customer details to be typed repeatedly.
Define the operating requirements
Record the number of users, permission needs, reporting tasks and integrations. Include backup responsibilities and a way to remove access when someone leaves. Check whether an advertised free option covers your actual team workflow before building a process around it.
Pilot with a small workload
Run one low-risk process through the candidate setup. Measure duplicate entry, handoff errors and time spent finding information. Document the workflow so another person can repeat it, then expand only after the pilot is reliable.
