Software switching guide

A Practical Software Migration Checklist

Switching tools works best as a small, reversible project. A staged migration lets you find missing data and workflow differences before you remove access to the old system.

Inventory and protect your work

List projects, attachments, shared folders, account owners and integrations. Create a separate backup and verify that you can open it. Keep the original data untouched during the trial; a synchronization folder alone is not a substitute for a recovery copy.

Pilot one complete workflow

Move one non-critical project first. Include a large file, an older item, a shared item and any special formatting that matters. Test editing and recovery as well as importing. Have another collaborator check permissions using their own account.

Set a cutover and rollback rule

Choose a date after the pilot succeeds. Tell collaborators which system will hold new work, then avoid editing the same record in both places. Define a condition that would trigger rollback, keep access to the old data for an appropriate period and only cancel services after checking the final export.
